Electronic P60s (eP60s) allow you to email P60 PDF documents directly to your PAYE workers, or make them available through your online worker portal. This article explains how to configure and process eP60s in Access Pay & Bill.
📌 Note: eP60 functionality is currently available for UK legislation only.
Prerequisites
Before you can use eP60 functionality, the following must be in place:
An email server must be accessible to Access Pay & Bill
The SafeEmail Service must be installed and configured
The SMS Messaging or SMS Triggers Right must be enabled
🤓 Tip: If you don't already have email configured in Access Pay & Bill, contact Customer Care to arrange setup. Schedule this early - allow plenty of time before your P60s need to be produced.
Configuration
If you already have email capability in Access Pay & Bill (for example, for e-Payslips or e-Billing), steps 1–3 below may already be complete.
1. Email server
An email server must be accessible to Access Pay & Bill. Discuss this with your IT department - they will need to work with our technical team to establish the connection.
2. SafeEmail Service
A Windows service called SafeEmail Service must be installed and configured. Contact Customer Care to arrange this. If you already have email functionality in Access Pay & Bill, this service is already in place.
3. Email rights
The SMS Messaging or SMS Triggers Right must be enabled. This allows you to configure the email message that the P60 PDF will be attached to.
4. Interface Options
In the Interface Options screen, set the PDF P60 Directory field to the folder path where P60 PDF files should be saved. It is recommended to include the tax year in the folder path — for example, C:\Temp\2025\.
5. Employer Maintenance – Email configuration
Once the required rights are enabled, the Email/SMS tab will appear in Employer Maintenance. Configure a trigger for eP60 emails using the fields below:
Field | What to enter |
Trigger Type | Select eP60 |
Trigger | The sequence number for this communication. For example, trigger 1 could be an SMS alert and trigger 2 the eP60 email itself. |
Message Type | Select Email (or SMS for an alert message) |
Description | Enter a short description for the trigger |
Body | Enter the email message text. You can personalise it using data tags: (personnel reference number), (first name and surname), (tax year of the P60) |
📌 Note: Configuring an eP60 email trigger does not enable e-Payslips. E-Payslips require separate configuration.
Processing eP60s
Step 1: Check worker email addresses
Before running the P60 process, make sure all workers have an email address recorded in the system. Workers without an email address will not receive an emailed P60 — you will need to provide a printed copy for them instead.
Step 2: Run the P60 procedure
Go to Payroll > Year End > P60 Procedures.
Run the Quality Standard Check and resolve any issues before continuing.
Select your output method from the Operation dropdown (see options below).
Click Start.
Available output methods:
Print P60s – produces a printed hard copy
P60 Email – emails the P60 as a PDF attachment
P60 Email and Online – emails the P60 and publishes it to the worker portal (portal users only)
P60 Online – publishes the P60 to the worker portal only (portal users only)
📌 Note: The portal options (P60 Email and Online / P60 Online) are only visible if the STi Online Access flag has been enabled in Employer Maintenance.
When you select P60 Email and click Start, the system checks whether all workers have an email address. If any are missing, you can generate a report listing those workers. You can then print hard copy P60s for them separately, add their email addresses, and re-run the process — Access Pay & Bill will only generate P60s for workers who have not yet received one.
Check for P60s yet to be produced
To identify workers who have not yet received a P60 in any format, tick Export Missing P60s? in the P60 Procedures screen and run the report.
P60 Enquiry
To see which workers have received a P60 and the delivery method used, go to Payroll > Year End > P60 Enquiry. Where the method is Email or Online, you can open the P60 PDF directly from this screen.
Email Log
To view emails that have been sent or are queued to send, go to Admin > Email Log.
Re-printing or re-sending a P60
To re-print or re-send a P60:
Go to P60 Procedures.
Tick Re-Print P60.
Select the required output method and click Start.
Re-printed P60s will not show the word 'Duplicate' on the document.
